Quick Start Guide

5.0 Setup or Request Facility Portal

Request Setup: To request a Facility Portal to start requesting rides from your NEMT provider via Bambi, please reach out to them directly.

Once your NEMT provider sets up your portal and facility admin and/or user accounts you will receive an email with a link to login. See the following on how to login for the first time and use the portal.

5.1 Facility Admin or User: Login to Facility Portal for First Time

Visit Login Page: Navigate directly in your web browser to the Bambi Web App Log In Page: (https://app.hibambi.com/) or tap the “Log In” button on the Bambi home page (top right).

Tip: Bookmark this Log In page in your default web browser for future quick access.

  1. Click “Forgot your password” Input your registered username (email).

  1.  Enter your email address that was used to create your user account and click “Reset my password”.
  1.  You will receive an email from Bambi to that email address. In that email will be a code to reset your password.

5. Log In with the new password and username (email address)

Tip: Save your password someplace safe and easy to remember.

5.2 Facility Portal Trips: Manage and Request Trips

  1. Add Trip:  “Add a Trip” on the top right of the navigation menu.
  1. Passenger: Find Passenger or add a new one. (Required)
    Start typing the passenger's name in the search to the left
  • If the passenger exists, click to select
  • If the passenger is not found, click the "Add ..." option and fill out the passenger form as normal
  1. Payer: Select a payer (Required)

  1. Toggle Link Passenger to Payer


    1. If checked, the passenger will be available to facility users with access to this payer.

  1. Select Transport Type
    1. Ambulatory Load / Unload: Passenger is able to walk.
    2. Broda Chair Load / Unload: Specialized wheelchair.
    3. Geri Chair Load / Unload: Basic Geriatric chair.
    4. Stretcher Load / Unload: Stretcher Cot.
    5. Wheelchair Load / Unload: Basic wheelchair.
    6. Wheelchair XL Load / Unload: Extra-Large or Bariatric wheelchair

  1. Select a service Type:
    1. Curb to Curb: Passenger is picked up at the curb and dropped off at the curb.
    2. Door to Door: Passenger is picked up at door and dropped off at door.
    3. Door Through Door: Passenger is met inside pickup location (if necessary) and dropped off inside destination (if necessary).

  1. Provide Wheelchairs? Does the passenger need the driver to provide a wheelchair?
  2. Attendants Needed
  3. Additional Passengers
  4. Infectious Disease Toggle
  5. Oxygen Required Toggle
    If Yes, indicate estimated Oxygen Amount (Liters per minute)
  6. Requested by Name: Person requesting the Trip
  7. Requested by Phone Number (Include Phone Extension)
  8. Will Call Toggle: Is this leg will call?
  9. Trip Date (Required)
  10. Dispatcher Notes: NOT visible to drivers
  11. Input Manually Updated Price: Overrides Passenger Payer Price Scheme settings.
  12. Pickup Address: Start typing and select an address (Required)
  13. Address Details: Facility Name, Win, Or Apt .#
  14. Pickup Time (Required)
  15. Additional Pickup Details: Click Plus Icon on Right Side
    Stairs (Individual Steps)
    1. Stair Equipment


      1. Ramp: A ramp is a durable, low-maintenance piece of equipment used to make steps accessible, especially for those using wheelchairs. Portable ramps typically have a 1:12 gradient for safe use. They can be used indoors or outdoors.
      2. Stair Chair: Also known as a stair lift, it's a motorized chair that travels along a rail mounted to the stairs. It helps people with limited mobility to navigate stairs safely. Stair chairs can be installed on straight or curved staircases, and even outdoors.
    2. Contact Name
    3. Contact Phone Number
    4. Load Time (minutes): Manually overrides default load time settings.
  16. Dropoff Address: Start typing and select an address (Required)
  17. Address Details: Facility Name, Win, Or Apt .#
  18. Appointment Time
  19. Additional Dropoff Details: Click Plus Icon on Right Side

  20. Notes for Driver: i.e. accessibility, enter from the rear, etc.

  22. Tap “Save”
5.2.1.1 Additional Trip Options: for editing and additional flexibility.
  1. Make it a Round Trip
  2. Make it a will call return
  3. Add Additional Leg: Tap “+ Additional Leg”
  4. Wait and return

Trips can be Edited or Updated by Tapping the “three dots” on the left side of the row next to the selection box. You have options to:

  1. Clone: Copy or Duplicate Trip
  2. Edit:
  3. Cancel
  4. Add Tags
  5. Delete
  6. View Summary
  7. Edit Invoice

5.3 Facility Portal Passengers: Manage Riders

  1. Navigate to “Passengers”  Tap the green “Create a Passenger” button on the top right of the navigation.

  1. Add Passenger Name

  1. Add Passenger Phone Number

  1. Toggle Allow SMS Messages: This is used for trip reminder texts.
    1. Confirm SMS Consent: By enabling SMS messaging, you confirm that you have obtained the passenger's explicit consent to receive text messages. Please ensure compliance with all applicable laws and regulations before proceeding.

  1. Email Address: Used for notifications.

  1. Date of Birth: Used for identification verification.

  1. Sex

  1. Weight

  1. Bariatric Toggle

  1. Additional notes: visible to drivers

  1. Dispatcher Notes: NOT visible to drivers

  1. Payment Methods

Note: Text Message Reminders will be sent the night before the scheduled trip and also when the driver is estimated to be 15 minutes from the pickup location.

Note: You can Edit these anytime or Delete a Credential by tapping the “Edit” Pencil icon for any listed Member.

5.3.2 Merge Passengers
  1. Passenger Narrow down: Start by narrowing down the duplicate passengers you're searching for by providing the start of the passenger's first, or last name.  

  1. Passenger Match fields: Bambi can search for duplicate passengers based on a selection of 3 fields below. Passengers must have at least 2 matches between email, phone, Date of Birth, first and last name in order to merge.
  • Passenger First Name
  • Passenger Last Name
  • Passenger Phone Number
  • Passenger Email Address
  • Passenger Date of Birth
  • Passenger Sex
  • Passenger Weight

  1. Select Duplicates to Merge: Review the list and Select

  1. Tap “Verify” to complete.

5.4 Facility Portal Team: Manage Facility Portal Users

  1. Navigate to “Accounts” on the Team Sub-Menu and tap the green “Add Member” button on the top right of the navigation.

  1. Select User Type:
    1. Facility Admin: can create “Facility Users", request trips, view passengers and edit settings for a specific Facility Ride Ordering Portal.
    2. Facility User: can only view passenger and trip status for a specific Facility Ride Ordering Portal.

  1. Complete User Contact Information: Name, Phone Number and Email Address

  1. Select Payer(s): Note these are the “Facilities” that this user will manage.

  1. Tap “Save


Note: As soon as you create a new Facility Admin or User that email address will receive an email to login and reset / create a new password.

5.5 Facility Portal Map: Visualize your Trips in Real-time

The Bambi NEMT software's map feature provides a powerful visual overview of the NEMT company drivers and your trips in real-time. This guide will walk you through accessing and utilizing this feature for efficient dispatching and monitoring.

  1. Accessing the Map Feature
  • Navigation: Once logged in, locate the "Map" tab on the top main navigation. 

  1. Understanding the Map Interface
  • Map Display: The central area of the screen will display a map of your service area with icons representing each live vehicle.
  • Vehicle Icons:
    1. Each active driver and vehicle will be represented by a distinct icon. 
    2. Hovering over a driver icon will display details like the driver's name, vehicle, current status, passenger, trip destination and estimated trip completion.
  • Driver List:  A list on the left panel of all active NEMT drivers can be clicked on for easy navigation to their real time location and status.
  • Zoom and Pan:
    1. Use the zoom controls in the bottom right of the panel (usually +/- buttons or your mouse wheel) to zoom in or out on the map.

Note: Click and drag the map to pan and view different areas.
